Self-Hosted Workspace — Your Data, Your Server, Your Rules

Zioan runs on your server. Every message, document, task, and client record stays on infrastructure you control.

SaaS tools are convenient until you think about what you are giving up. Your team's conversations are on Slack's servers. Your documentation is on Notion's servers. Your project data is on ClickUp's servers. Your client information is on HubSpot's servers. Four different companies have access to four different slices of your business.

Zioan is self-hosted. The entire platform (chat, documents, kanban boards, CRM, calendar, code snippets, video calls) runs on a server you control. Your data never leaves your infrastructure. No vendor can access your messages, read your documents, or mine your usage patterns for product analytics. You own the hardware, you own the software license, you own the data.

For teams that need GDPR compliance, data sovereignty, or simply prefer not to trust SaaS vendors with sensitive business information, self-hosting is not a nice-to-have. It is the whole point.

How self-hosting works with Zioan

Docker-based installation

Zioan ships as Docker containers. Run the automated install script on any Linux server or VPS with Docker installed, and the platform is ready. No manual dependency management, no complex server configuration. The install script handles database setup, service configuration, and initial startup.

Your choice of server

Run Zioan on any Linux server: a VPS from Hetzner, DigitalOcean, or AWS. A dedicated server in your office. A virtual machine in your existing data center. The only requirement is Docker support. You choose the location, the provider, and the hardware specs based on your team's needs.

EU hosting for GDPR

Host your Zioan instance on a server in Germany or any other EU country. When your data physically resides in the EU, on hardware you control, GDPR compliance becomes straightforward. No data processing agreements with US-based SaaS vendors. No questions about where data is stored or who has access. The answer is always: your server, in the EU, controlled by you.

In-app updates

Updates happen directly inside the Zioan application. No SSH access required, no DevOps knowledge needed. When a new version is available, you update from within the admin panel. The platform handles the upgrade process, including database migrations and service restarts.

Backup management

Built-in backup tools let you create and manage database backups from the admin settings. Since you control the server, you can also set up your own backup strategy: daily snapshots, off-site replication, whatever fits your disaster recovery plan.

Branding and customization

Upload your company logo for the navbar (with separate versions for light and dark themes). Customize the login page. Configure the dashboard layout. Toggle features on or off based on what your team needs. Zioan looks and feels like your own product, not a third-party tool.

Performance monitoring

Built-in monitoring tracks API call metrics, WebSocket connection health, storage usage, and system alerts. Automated PDF reports give you a periodic overview of platform health. No external monitoring tool required for basic operational visibility.

Managed hosting option

If you want the benefits of self-hosting without managing a server yourself, Zioan offers a managed hosting option. The Zioan team handles server setup, maintenance, and updates. You get data sovereignty (the server is yours, in your chosen location) without the operational overhead. EU/Germany hosting is available for GDPR compliance.

Why teams choose self-hosted Zioan

Zero vendor access to your data

When you use Slack, Notion, or ClickUp, those companies can access your data. Their employees can view your content for support purposes. Their systems process your data for features, analytics, and machine learning. With Zioan, no external company has access to any of your workspace data. Your messages, documents, tasks, client records, and files exist only on your server.

GDPR compliance by architecture

GDPR compliance with SaaS tools requires data processing agreements, privacy impact assessments, and trust that the vendor follows their own policies. With Zioan, the compliance question is simpler: your data is on your server, in your jurisdiction, controlled by your organization. Zioan includes a cookie consent banner and editable privacy policies out of the box. Host in the EU and the physical data location question is answered permanently.

Perpetual license, not a subscription

Zioan costs EUR 999 as a one-time payment. That includes unlimited users, unlimited guests, and all features. Year 2 and beyond, you can optionally pay EUR 199 for continued updates and priority support. If you skip it, the software keeps working. You are not renting access to your own workspace. You own it.

One platform replaces 3-5 subscriptions

A 10-person team using Slack ($8.75/user/mo), Notion ($10/user/mo), and Asana ($10.99/user/mo) pays roughly $3,570 per year. Add Zoom ($13.33/user/mo) and a basic CRM, and it exceeds $5,000 per year. Zioan replaces all of them for EUR 999 once. The savings in year one typically exceed the cost of the license.

No vendor lock-in

Your data is in a PostgreSQL database on your server. If you ever decide to move away from Zioan, your data is right there in a standard database format. No export request needed, no waiting period, no limited export formats. Compare this to extracting years of messages from Slack or exporting a complex Notion workspace.
