Kanban Boards and Task Management — Self-Hosted Project Management
Task cards, time tracking, checklists, story points, and activity logs. Project management that lives alongside your chat and docs.
Project management tools are the first thing teams outgrow. You start with a simple board, then realize you need time tracking, so you add another tool. Then checklists. Then story points. Each addition means another subscription, another login, another place to check.
Zioan's kanban boards are built into the same workspace as your team chat, documents, and CRM. When a team member discusses a task in chat, the task card is one click away. When a client asks for a status update, you pull it from the same system where the work happens. No integration layer needed because there is nothing to integrate.
Your project data stays on your server. No SaaS vendor has access to your task descriptions, time logs, or client-related work items.

How kanban boards work in Zioan
Task cards with everything you need
Each task card includes a title, description, priority level (low, normal, high, urgent), due date, and task ID. Assign one or multiple team members per task. The task ID format (Z-101, Z-102) makes it easy to reference tasks in chat messages and documents.
Checklists for sub-task tracking
Break complex tasks into smaller steps with built-in checklists. Each checklist item can be checked off independently, giving you a progress indicator without creating separate tasks for every small step.
Time tracking with reports
Log time directly on each task. Set time estimates and compare them against actual hours logged. Board-level time reports show totals per user, highlight tasks that are over budget, and can be exported to CSV or PDF. Useful for client billing, sprint reviews, or just understanding where time goes.
Story points for agile teams
Estimate task complexity using the standard Fibonacci sequence (1, 2, 3, 5, 8, 13, 21). Track velocity across sprints without a separate agile tool. Story points appear on task cards and in board summaries.
Labels and filtering
Color-coded labels (9 colors) let you categorize tasks by type, component, or any taxonomy that fits your workflow. Filter the board by column, priority, assignee, label, completion status, or text search to focus on what matters right now.
Comments and activity log
Discuss tasks in context with comments directly on the card. The activity log tracks every change: who moved a task, when priority was updated, which files were attached. Full audit trail without extra setup.
File attachments and resource links
Attach files directly to tasks. Link existing Zioan documents, code snippets, or folders to a task card. When the spec lives in a document and the related code is in a snippet, both are accessible from the task without hunting through the workspace.
Calendar integration
Task due dates automatically appear on the Zioan calendar. Team members see their deadlines alongside meetings, milestones, and personal events. One view for everything that has a date.
Why teams choose Zioan for project management
Replace ClickUp or Asana without losing features
ClickUp charges $7 per user per month. Asana charges $10.99. Both require separate subscriptions and sit outside your chat and documentation tools. Zioan gives you kanban boards, time tracking, story points, and checklists inside the same application you already use for messaging and docs. One login, one bill (paid once).
Tasks connected to conversations
When someone mentions Z-142 in a chat message, everyone knows exactly which task they are talking about. When you discuss a task's requirements in a channel thread, that context does not disappear. The chat and the board live in the same system, so context flows naturally between them.
Time tracking without a separate tool
Many teams use Toggl, Harvest, or Clockify alongside their project management tool. With Zioan, time logging happens right on the task card. Board-level reports aggregate time per user and per task, with CSV/PDF export for invoicing or internal reporting.
Your project data on your terms
Task descriptions often contain sensitive information: client names, internal roadmaps, competitive strategy notes. With Zioan, all of this stays on your server. No SaaS vendor can access your project data, and you control backups and retention.
